Chief of Staff for UHNW Private Family Office
My very busy and respectful UHNW client is looking for a Chief of Staff to join their friendly Private Family Office based in West London. The office also houses its large charitable foundation.
The Chief of Staff manages staff at the family’s properties in the UK and abroad, and manages the family office team, including the Finance Manager, PAs, Property Manager, the Head of IT and the administrator. The Chief of Staff ensures compliance with all legal and regulatory requirements and manages inventories and archives.
The varied responsibilities of this role include HR, recruitment, security, property and estate management, property acquisitions, sales and lettings and liaising with family advisers.
• Team management: Oversee and coordinate the Family Office team and household staff across multiple properties, ensuring clear communication and accountability across the team.
• Lead HR and recruitment processes, ensuring full compliance with employer obligations; manage end-to-end hiring, onboarding, and offboarding; and administer staff records, holiday, and leave tracking.
• Manage and coordinate key projects and transactions (including property acquisitions, disposals, and restructurings), acting as the central point of contact for legal, tax, and other professional advisors; proactively identify when external advice is required and distil complex guidance into clear, concise summaries for the Principals.
• Maintain comprehensive and well-structured electronic records, document management systems, inventories, and archives, ensuring accuracy, accessibility, and appropriate data governance across the Family Office.
• Oversee and coordinate security and cybersecurity initiatives in collaboration with third-party providers, ensuring robust, up-to-date protection of family, staff, properties, and sensitive information.
• Oversee responses to due diligence and KYC requests, ensuring accuracy, timeliness, and completeness, while maintaining ongoing compliance with all relevant legal and regulatory requirements
Required Qualities and Skills:
• Team management experience: Demonstrated capacity for effective staff management or a clear ability to manage and lead personnel. Potential to supervise and guide the house and estate managers and other domestic staff, ensuring the seamless management of operations and projects.
• Effective communication: Excellent interpersonal and communication skills, with the ability to coordinate activities among various teams and service providers. Able to adapt communication styles to suit different audiences, has exceptional listening skills, and can communicate clearly and concisely.
• Flexibility & adaptability: A willingness to embrace evolving roles and responsibilities as priorities will change over time. Ability to handle coordination, project management, and potential concierge duties (e.g. calendar management, personal assistance, event planning and research) with versatility. Ability to quickly change tack and handle ‘curve balls.’
• Problem-solving & decision-making: Strong ability to hold stakeholders accountable, sense-check budgets, and ensure alignment with project proposals. Capable of providing intermediary support for decision-making, project management, and overall organisation.
• Exceptional administrative skills: An ability to handle multiple tasks and projects and to prioritise; this is an admin-heavy role.
• Astute research abilities: An inquisitive nature and the capability to conduct intelligent research. Thorough understanding of research methodologies, both desk-based and through direct interaction with relevant experts and stakeholders.
• Project management expertise: Skilled in overseeing complex projects. Exhibits the capability to navigate and coordinate diverse projects and prioritise based on strategic importance.
• Strategic thinking: Exceptional problem-solving skills and the ability to think critically when addressing challenges and making decisions.
• Digital fluency and workflow management: Comfortable using digital tools to manage tasks, track deliverables, and communicate across a team.
