Responsibilities:
  • Coordinate calendars, book rooms, and schedule meetings and events.
  • Liaise with external vendors and service providers.
  • Organise internal and external events, including staff functions and client gatherings.
  • Provide general support on projects across teams.
  • Manage office expenses, invoices, and petty cash.
  • Oversee day-to-day facilities operations and supplier interactions.
  • Handle purchasing to ensure cost-effective procurement across departments.
  • Support planning and delivery of workplace projects.
  • Track progress on projects and ensure timely completion.
  • Act as a link between internal teams and external partners.
  • Maintain up-to-date office procedures and documentation.
  • Arrange travel and prepare staff itineraries.
  • Monitor staff facility usage (e.g. gym attendance).
Candidate:
  • Strong academic background
  • At least 2 years’ experience in a comparable administrative role
  • Highly proficient in office software and fast, accurate typing
  • Exceptional attention to detail and time management
  • Able to handle multiple tasks under pressure with professionalism
  • Clear and effective communicator, both written and verbal
  • Approachable, discreet, and confident in a team environment
  • Proactive with strong problem-solving skills
  • Works well collaboratively across business support functions
