Responsibilities:
- Coordinate calendars, book rooms, and schedule meetings and events.
- Liaise with external vendors and service providers.
- Organise internal and external events, including staff functions and client gatherings.
- Provide general support on projects across teams.
- Manage office expenses, invoices, and petty cash.
- Oversee day-to-day facilities operations and supplier interactions.
- Handle purchasing to ensure cost-effective procurement across departments.
- Support planning and delivery of workplace projects.
- Track progress on projects and ensure timely completion.
- Act as a link between internal teams and external partners.
- Maintain up-to-date office procedures and documentation.
- Arrange travel and prepare staff itineraries.
- Monitor staff facility usage (e.g. gym attendance).
Candidate:
- Strong academic background
- At least 2 years’ experience in a comparable administrative role
- Highly proficient in office software and fast, accurate typing
- Exceptional attention to detail and time management
- Able to handle multiple tasks under pressure with professionalism
- Clear and effective communicator, both written and verbal
- Approachable, discreet, and confident in a team environment
- Proactive with strong problem-solving skills
- Works well collaboratively across business support functions
